CUTIS OPD REGISTRATION ID SYSTEM
Privacy notice
Cutis Skin Hair and Laser Clinic uses this system to register and manage the patient queue and retain its operational visit history.
Information used
Patient name, mobile number, online OPD registration preferences, OPD Registration ID details, reception decision, accepted-screen view time, explicit visit response, optional WhatsApp permission, message delivery status and receipt times, arrival status and queue timings. Clinical notes, diagnosis, photos and prescriptions must remain in the clinic EMR and are not stored in this system. For a staff-recorded Doctor Contact Request, the system uses the contact name, official callback number, request type, a short non-clinical message and workflow status. For a Medical Representative Meeting Request, it uses the representative's name and mobile number, company and division, meeting purpose, product or topic, preferred date, a short non-clinical message, clinic decision and visit status. For a digital complaint or suggestion, the system records the topic, message, time and an optional OPD reference only if the sender chooses to link it. Name is optional; a mobile number is collected only when the sender permits contact. Reception may enter the same information from a physical complaint box slip, marking its source as physical.
Optional WhatsApp updates
You may choose to receive operational updates for your OPD registration on WhatsApp. When the official connection is enabled, these messages use WhatsApp Business API through YCloud. Outgoing updates include your name, mobile number, registration number, OPD date, arrival window and secure registration link. Messages and replies pass through WhatsApp and YCloud; this queue records operational message identifiers, delivery times and explicit attendance responses. You can still request and confirm your registration on this website without choosing WhatsApp updates. Reply STOP to stop automatic WhatsApp updates to your mobile number.
Why it is used
To review an online OPD registration request, issue or decline an OPD Registration ID, share live reporting information, record whether a patient plans to attend, and operate the OPD queue. Doctor Contact Requests are used only to route official clinic communication and do not change the OPD queue. Medical Representative Meeting Requests are managed in a separate non-patient workflow and never create an OPD Registration ID or consultation priority. Reception access is limited to the representative's identity, professional contact, company or division, meeting status and approved reporting window. The meeting purpose, product or topic, free-text message and doctor decision notes are restricted to doctor access. Complaints and suggestions from both sources are used to identify and address clinic service problems. Only the clinic owner can view the complaint register, private notes, status and exports; authorised reception staff can enter a physical slip without viewing that register. This form is not a channel for medical advice or clinical records.
How long it is kept
Online OPD registration requests, queue entries and queue events are retained for clinic operations and visit history; they are not automatically deleted after 30 days. Older queue entries that were previously moved into a restricted encrypted archive are retained there rather than restored to the live queue. The clinic assesses deletion requests and whether records are still needed for their operational purpose or under applicable law. De-identified daily counts and timing distributions may also be kept for clinic analytics. Doctor Contact Request identity and message are removed from the active database after 30 days and are not copied to the compliance archive. Medical Representative Meeting Request identity, decision and visit status are removed after 120 days and are not copied to the patient compliance archive. Complaint and suggestion records are retained for clinic improvement and operational review, with deletion assessed against their purpose and applicable requirements rather than an automatic 30-day cutoff.
Abuse prevention
The public request and digital feedback forms use short-lived, pseudonymous counters to slow repeated automated or excessive submissions. Raw IP addresses are not stored in these counters, and expired counters are removed automatically.
Your choices and requests
Do not forward your private OPD status webpage. For correction, access, deletion or a privacy grievance, contact Cutis Skin Hair and Laser Clinic reception from your registered mobile number or speak to reception at the clinic. The clinic reviews verified requests against its operational record-keeping needs and applicable law.
